Requirements:

  • Proven working experience as an executive assistant, sales operations, and marketing operations or willingness and ability to learn very fast
  • Excellent client and business partner-facing and internally facing communication skills
  • Great balance of left-brain and right-brain thinking
  • Excellent English, Ukrainian, and Russian written and verbal communication skills
  • Solid organizational skills including attention to detail and multitasking skills
  • Candidates should have a positive attitude & should be goal oriented.
  • Ability to handle pressures of sales and marketing operations, and multi-tasking all the time… and work as per tight deadlines.
  • Ability to provide sales and marketing team operations support for booking our brand team at trade shows, conferences, client meetings, marketing events, online webinars, and initial client marketing tasks
  • Must be able to manage data entry and updates in our CRM and collaborate with our Sales and Marketing teams
  • Coordinate all marketing operations for MediaMagic to attend and participate in industry conferences, client and customer events, client meetings, speaking opportunities, and customer facing marketing projects as needed
  • Perform special projects for the CEO and Managing Partner as needed

TOOLS SKILLS REQUIRED & WORK CONDITIONS NEEDED FOR ROLE

  • Must be self-disciplined and hyper focused in a Work from Anywhere environment in order to deliver results as a part of our team and benefit from our Profit Sharing Program

  • Must have a quiet work environment regardless of where YOU are. Professional, accountable, and great communication skills working from anywhere
  • Must have a reliable high-speed internet connection
  • Skype, WhatsApp, Telegram, Viber, EasyCall, FB Messenger, Telegram, Zoom, Google Meet

  • Trello.com, Basecamp.com, Clickup, Calendly, Hubspot CRM, ActiveCampaign, Google Workspace, MS Office365

  • Basic understanding of the principles of Digital Marketing, Web Design and Development with Wordpress, Shopify, WooCommerce, CMS, sales, marketing, etc in order to communicate clearly and effectively with our job candidates

Executive Assistant Duties

  • Liaison with all stakeholders of MediaMagic to ensure:
    • All meetings are calendared in real-time
    • All meetings have Goals and/or Objectives and clear Agendas
    • All Follow-up and actions are recorded and managed in Trello and Google Workspace
  • Plan and book CEO/CMO and Leadership business meetings and Travel and Living wherever needed and whenever necessary — but in particular in UKRAINE, EU, and USA
  • Coordinate all Sales and Marketing materials getting into the hands of our team members wherever needed

Sales Operations Specialist

  • Book client meetings
  • Work with SDRs and Marketing to ensure SQL meetings are properly calendared with our client prospects:
    • calendly
    • google calendar
    • Hubspot
    • agendas
    • goals
    • coordinating needed team members
    • taking notes and coordinating follow-up
    • updating CRM records
  • Need to perform marketing operations support to the sales and marketing teams to drive customer and client marketing in the field
  • Ability to provide marketing operations support for booking our brand team at trade shows, conferences, client meetings, marketing events, online webinars, and initial client marketing tasks
  • Coordinate sales & marketing operations for MediaMagic to attend and participate in industry conferences, client and customer events, client meetings, speaking opportunities, and customer facing marketing projects as needed
  • Coordinate our marketing conferences, speaking opportunities, client meetings and calendaring, coordination for our B2B business and brand MediaMagic to support our revenue and profit goals
  • Ensure we have all sales and marketing pipeline records up to date every week
  • Work extensively in Hubspot CRM to update all sales pipeline and contacts records:
    • contacts
    • deals
    • contact properties
    • deal properties
    • industries
    • sources
    • countries
    • reports
    • reporting
    • adding contacts
    • updating all sales / contact lead statuses for all CRM
    • work with SDRs and Account Managers to manage our CRM data
  • Contribute marketing ideas to plans we revise on a regular basis
